Who We Are

The Coalville Business Awards are administered by Coalville Public Radio CIC (CPR CIC). This notice explains how the awards team uses the information you provide when you nominate a business, make an enquiry, discuss sponsorship or an exhibition table, or take part in the awards.

For privacy questions or to update your contact preferences, email enter@coalvillebusinessawards.co.uk.

What Information We Collect

We may receive your name, email address, business or organisation details, enquiry messages, nomination details, award category, and information needed to arrange sponsorship, exhibition tables or attendance. Please include only information relevant to your enquiry or nomination, and make the person you nominate aware that you have provided their details.

Contact Before and After the Awards

We may contact businesses, nominees, sponsors, exhibitors and attendees before and after the awards to respond to enquiries, manage nominations and judging, confirm arrangements, communicate results, organise the ceremony and seek feedback about the event. These communications help us deliver and follow up the awards programme.

Future Awards and Business Connections

If you choose the optional email-updates box on our forms, CPR CIC may also email you before or after the awards about future Coalville Business Awards, sponsorship and exhibition opportunities, and relevant local business-networking activities. This choice is optional: you can make an enquiry or nomination without signing up for these updates.

You can withdraw this choice at any time by using the unsubscribe option in a marketing email or emailing the awards team. Withdrawal does not affect the lawfulness of processing that took place before withdrawal. We will keep a minimal record of an opt-out where needed to avoid contacting you again with marketing.

Our Basis for Using Information

Where appropriate, our legitimate interests in organising the awards and responding to your request are the basis for necessary administration and follow-up. Where processing is needed to carry out an agreed sponsorship, exhibition or booking arrangement, we may rely on contract. Optional future email updates are based on your consent. We may also retain information where a legal obligation requires us to do so.

Working with Partners

Relevant information may be shared with judges, North West Leicestershire District Council where involved in delivering the awards, and service providers where necessary to organise and administer the event. Access should be limited to what each recipient needs. We do not sell contact information. A partner wishing to use your details for its own marketing must provide appropriate privacy information and have its own lawful basis.

How Long Information Is Kept

Awards and enquiry records are kept for the relevant awards cycle and as long afterwards as reasonably needed to resolve enquiries, complaints and agreed arrangements, or meet applicable legal record-keeping requirements. Records should be reviewed regularly and removed or anonymised when no longer needed. Optional-update details are kept until you withdraw your choice or the list is reviewed and the information is no longer needed.

Security and This Website

The website forms email submissions to the configured awards recipient. This theme does not create a separate database of form entries. Temporary security tokens and short-lived, hashed connection identifiers help prevent misuse; the form rate-limit records expire after one hour. The hosting provider and email provider may process technical records as part of delivering their services. The theme does not load third-party maps, analytics or font services by default.

Your Choices and Rights

Depending on the circumstances, you may request access to your personal information, correction, deletion, restriction or portability, and you may object to processing based on legitimate interests. You have the right to object to direct marketing at any time. Contact the awards team to make a request. You can also raise a concern with the Information Commissioner’s Office.
